Scheduling Coordinator CNA

JOB SUMMARY The Scheduling Coordinator has a primary responsibility for overseeing the coordination of nurse and CNA staffing schedules. This responsibility includes timely collaboration with the facility clinical leadership along with nurses and CNAs to ensure that available shifts have been filled to the greatest extent possible. The Scheduling Coordinator is responsible for monitoring the effectiveness and efficiency of staffing. The Medical Secretary is responsible for assisting with and communicating the status day to day nursing operational tasks to the DON. Job Duties: Completes all staffing schedules, monthly, weekly, and daily. Meet with DON/ADON and review staffing goals and needs. Reviews the monthly schedule and weekly openings. Communicates with facility nurses and CNAs to secure scheduling commitments. Takes calls regarding schedule changes (tardiness, call offs, etc.) and adjusts to ensure coverage. Updates the facility DON/ADON as shifts are filled. Ensures that staffing schedule, along with vacancies are posted Checks vacancies posted daily to determine and identify any vacant shifts that have been requested Ensures there is at least 1 RN providing coverage daily. Ensures the Daily Staffing Posting is present in the lobby daily. Works with the Facility Administration as needed to review other staffing options, (EG: Activity Aides who are CNAs) Collaborates with Facility Administration and the DON/ADON daily regarding the oversight of RA duties. Collaborates with the Business Office Manager regarding recruitment opportunities. Attends nursing related job fairs for the purpose of recruitment and hiring Does preliminary interviews with applying CNA, Wound Care Tech, Resident Safety Tech, RAs, and Restorative Aide candidates when necessary. Monitors POC compliance and communicates individual concerns to the DON/ADON Maintains a weekly record of shifts that have been filled. Participates in staffing meetings to communicate needs and plans. Files and Stores staffing assignment sheets daily with real time adjustments entered Works closely with union representatives when applicable to eliminate conflicts and/or grievances against the facility. Provides education, training and completes competencies on CNAs, and RAs Collaborates with DON/ADON, Administrator and Business Office Manager on staff retention and employee engagement initiatives. Serves as Manager on Duty on weekends, evenings and/or holidays as scheduled Works closely with restorative and wound departments to ensure staff compliance according to the needs of the residents and all assigned programs are carried out and performed, including adequate documentation. QUALIFICATIONS: Must have been a Certified Nursing Assistant with at least one year of current experience working in long term care, unless already serving in the role. All hires after 1/2022 must be CNAs. Demonstrates full competency in all areas of the CNA work responsibilities (if a CNA). Demonstrated success in collaborating and communicating with peers Demonstrates the ability to teach and competency all CNA skills (if a CNA) Demonstrates leadership and supervisory ability and willingness to work harmoniously with employees. Must have the ability to multitask (managing day to day functions as well as collaborating on scheduling) Demonstrates interest in the importance of the care of the residents Demonstrates interest in the importance of staff retention Must possess the ability to make independent decisions when circumstances warrant such action. Assess, Plan, develop, organize, implement, evaluate, the facility staffing needs. Assure that all procedures are followed in accordance with established staffing processes and policies. Directly collaborates with clinical leadership and assists with providing staff education, training, and competencies. Identify problems, develop, and implement solutions with the assistance of the DON/ADON and Administrator Assists with other non-clinical duties/tasks as assigned for the overall operations of the facility. PHYSICAL REQUIREMENTS: Must be able to move intermittently throughout the workday. Must be able to cope with the mental and emotional stress of the position. Must possess sight/ hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met. Must be in good general health and demonstrate emotional stability. Must be able to relate well and work with the ill, disabled, elderly, emotionally upset and at times hostile people within the facility. Must be able to stand and ambulate for long periods of time. JOB DESCRIPTION TITLE: Resident Safety Technician (CNA fall prevention specialist) REPORTS TO: DON (Director of Nursing) I. JOB SUMMARY: Provides a primary focus on daily residents/patient safety. Understands the expectations of daily nursing care in accordance with current federal, state and local standards, guidelines and regulations, facility policies and as may be directed by supervising nurses to ensure that the efforts are implemented to maintain resident/patient safety at all times. Makes rounds throughout the day to ensure that all visual fall interventions are in place. B. Ensures that all nursing procedures related to resident/patient safety are followed in accordance with established policies. Including but not limited to: • Observing and assisting with ensuring that personal items within reach. Including but not limited to: o Call light o Telephone o Remote control o Drink o Snacks o Placement of (over the bed) bedside table • Inquiring about resident/patient comfort/pain, and reports concerns to the nurse • Coordinating to manage resident/patient personal needs (toileting) • Observing and assisting with ensuring resident/patient safety positioning but not limited to: o Not on the edge of the bed o Not on the edge of the chair o Not leaning forward in the chair o Ensuring positioning devices are in place (leg rests, bolsters, Velcro straps, winged/scoop mattresses, trunk control braces, safety cushions) C. Maintains a record of results of rounds (QA Tools) and provides DON with a copy daily. D. Reports trends/patterns of safety non-compliance to the DON and nurse on duty daily. E. Reports needs for safety equipment/supplies to DON daily. F. Ensures that newly ordered safety equipment/supplies are implemented upon delivery. G. Reports potentially unsafe equipment to the nurse on duty and to the DON immediately. H. Assists with the distribution of clinical alerts to other staff that are working with certain focused residents/patients. I. Answers call lights promptly. J. Assists in the updating of the fall prevention intervention log (which includes visual interventions. K. Meets with new admissions and reviews primary safety measures. L. Reports any changes in resident/patient condition to the nurse on duty. M. Secures incident/accident reporting from the nurses upon arrival for duty. N. Checks to ensure that new interventions are promptly implemented post occurrence. O. Communicated trends/patterns, and individual resident/patient safety concerns to the IDT through Stand-Up Meeting (day and evening shifts), and during early mornings for night shift. P. Communicates with the CNAs to assists with determining the root cause or new behaviors associated with incidents/accidents, and potential new interventions based on the root cause. Communicates this information to the restorative nurse. Q. Meets with DON and corporate to review observations and recommendations for the incident/accident prevention program. R. Attends and actively participates in resident/patient care plan conferences as directed by the IDT team. S. Attends and participates in facility Incident/Accident related meetings. T. Attends educational sessions related to resident/patient safety and shares educational information with the IDT. U. Participates in Onboarding/Orientation to provide information about resident/patient safety X. Wears transfer/gait belt as part of the uniform. Y. Performs other related duties as assigned.

Must be in good general health and demonstrate emotional stability. Must be able to relate to and work with ill, disabled, young, emotionally upset, and at times hostile people. May be required to lift, push, pull, and move equipment, supplies, etc., in excess of fifty (50) pounds throughout the day. Is subject to exposure to infectious waste, diseases, conditions, etc. including exposure to the (HIV) Aids and Hepatitis B viruses. ESSENTIAL FUNCTIONS Ensure that all nursing procedures and protocols are followed in accordance with established policies, including dress code. Provides assistance with activities of daily living to a specific number of residents and/or as directed by the staff nurse. Assists in developing a written plan of care for each customer that identifies the problems/needs of the customer. Attends and actively participates in resident care plan conference, and Resident Council and/or Family Council when invited. Reports all concerns, complaints made by the customer or their family to the Administrator. Makes rounds to assure customers are safe and comfortable. Maintains an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the department. Participates in In-service Education Programs. Assists in implementing and maintaining an effective orientation program that orients the new Ladies and Gentlemen of Alden to the facility, his/her department, and its policies and procedures. Recommends to the Director of Nursing the equipment and supply needs of the department. Inventories and stores the new customer’s personal possessions. Assists customers with packing personal possessions when they are transferred to a new room or when being discharged. Participates in and receives the nursing report upon reporting for duty. Maintains intake and output records as instructed. Checks and reports bowel movements and character of stools. Makes occupied and unoccupied beds, changes bed linens, and straightens rooms, closet, and drawers. Notifies housekeeping if mattress in need of cleaning or replacement. Answers call lights promptly, answer telephone calls as needed and run errands as requested. Obtains blood pressure, temperature, pulse, respiration, heights, and weights as needed. Does complete check of skin condition when dressing, undressing, turning/repositioning, etc. Reports any skin abnormalities to the Staff Nurse. Observes customer’s physical condition, attitude, reactions, appetite, etc., and reports any changes and/or unusual findings to the Nurse/RCC so care plan can be updated. Performs personal services for customer’s (i.e., reading, writing letters, etc.) as time allows. Encourages customers to help themselves and promotes self-care in aiding rehabilitation. Assists with care of dying and expired customers. Records resident food/fluid intake. Completes meal monitor form as indicated. Reports changes in resident’s eating habits to the Staff Nurse. Keeps customers water pitchers clean and filled with fresh water on each shift unless contraindicated. Serves between meals and bedtime snacks. Wears transfer belt at all times and utilizes as needed. Keeps the nurses’ call system within easy reach of the resident. Reports all hazardous equipment and conditions to the Staff Nurse immediately. Participates in the development, maintenance, and implementation of the facility’s Quality Assurance program for the Nursing Department.
