Job Summary:                   

We are seeking a dedicated and compassionate Medical Assistant to join our healthcare team. The ideal candidate will play a crucial role in providing high-quality patient care and administrative support within our medical facility. This position requires a detail-oriented individual who can thrive in a fast-paced environment and is committed to ensuring the well-being of our patients. This position will perform Medical Assistant duties focused in the front office role. As a new practice, we want our employees to be cross-trained for proficiency and to better assist our patients.

Essential Functions:                 

  • Demonstrates strong multitasking abilities, exceptional attention to detail, and thrives in a fast‑paced clinical environment
  • Accurately obtains and records patient vital signs
  • Coordinates and schedules both virtual and in‑person patient appointment
  • Manages insurance-related tasks including eligibility verification, prior authorization requests, and patient check‑in procedures
  • Supports new and returning patients throughout the intake and re‑establishment process
  • Assists providers with documenting History of Present Illness (HPI) notes
  • Proficient in navigating and updating Electronic Medical Records (EMR) systems
  • Prepares and organizes patient charts, including sleep study documentation, lab results, and CURES verification
  • Provides comprehensive medical administrative support: answering phone calls, scanning and uploading documents, communicating results and orders to patients, documenting all patient interactions, processing prescription refills, and coordinating orders for sleep studies, CPAP equipment, referrals, and laboratory testing

Additional Job Duties include, but are not limited to the following:

  • Acquiring CPAP data downloads and collaborating closely with local Durable Medical Equipment (DME) providers.
  • Request through Insurances portal authorizations for office visits, sleep studies, specialty medications authorizations, etc.

Highly Desirable

  • Front office experience in a medical office, with some experience with insurances, eligibility verification, prior authorizations request, scheduling and checking in process of patients.
  • Training in the use of CPAP masks and assisting patients with fitting sample PAP masks.
  • Experience in sleep medicine, psychiatry/behavioral health, neurology, pulmonology, cardiology or ENT is a plus.
  • Fast typing skills and experience with Microsoft Applications like Outlook and Teams

 Competencies & Success Factors:                 

  • Previous experience as a Medical Assistant or in a comparable role within the healthcare sector is beneficial.
  • Excellent communication and interpersonal abilities to ensure effective interactions with patients and team members.
  • Strong organizational skills and meticulous attention to detail, particularly in managing patient records and clinical responsibilities.
  • Proficient in the use of EMR systems and knowledgeable in medical terminology.

 Qualifications:   

  • A Medical Assistant Certificate or Bachelor's degree is preferred.
  • Minimum of 1 year of experience with Good Clinical Practice (GCP) standards (Required)
  • Bilingual in English and Spanish is a plus.
  • Ability to Commute: San Diego, CA 92130 (Required)
  • Ability to Relocate: San Diego, CA 92130: Relocate before starting work (Required)
  • Experience in Sleep Medicine, Neurology, or Internal Medicine is highly valued
  • Front office experience preferred
  • Basic Life Support (BLS) certification preferred
  • Strong organizational skills and exceptional attention to detail, with the ability to maintain accurate records and manage multiple responsibilities efficiently
  • Excellent communication skills for interacting with patients, families, and multidisciplinary healthcare teams
  • Ability to operate and navigate various medical systems and equipment with confidence
  • Working knowledge of insurance processes, including eligibility verification, prior authorizations, scheduling, and patient check‑in procedures
