Summary of Position

Work Location: 3105 MCHENRY AVE., STE.101 | MODESTO, CA 95350

To act as the main point of contact for persons requiring medical services with the Company whether in person, electronic correspondence or on the telephone.  Represent the Company in a positive light acting as liaison between the physicians’ offices and the associated Ambulatory Surgery Center (ASC), patients and the Center, purveyors and others who contact the Company.  Acts as a member of the broader Company team.  Also assists the front office area with whatever areas may need assistance. 

WHAT YOU'LL DO:

A. Patient Services 

  • Welcomes and registers patients with proper etiquette, ensuring completion of forms and administrative admitting processes.
  • Collect co-payments and deductibles in accordance with Company policies, log accordingly
  • Verifies and enters insurance information and maintain confidentiality of patient records
  • Obtains and enters pre-authorizations for workers compensation cases when necessary – performs follow-up on authorizations and pre-certifications
  • Takes vital signs and patient history, document in records. 
  • Receives, retrieves and places laboratory results in the medical record when appropriate – and receives appropriate sign-off for the post-op results (pathology requires MD sign-off)
  • When scrubbed, is responsible for:
  1. Assisting with draping patient
  2. Arranging tray and instruments and supplies in a convenient/effective manner 
  3. Assists surgeon throughout procedure by providing sterile instruments and supplies the surgeon requires to perform the procedure (3a. Prepares specimens for review/pathology pickup Follows facility biological monitoring documentation and procedure)
  • Cleans instruments at the end of each case 
  • Responsible for being familiar with and carrying out cleaning and sterilization procedures according to the policy including: 
  1. Packaging and wrapping for sterilization 
  2. Loading sterilizer for proper sterilization
  3. Recordkeeping for each sterilizer load 
  4. Appropriate notation of each load
  5. Ensuring routine maintenance of the autoclave and other sterilization equipment 
  6. Immediately informing the ASC Manager of any malfunction or need for possible need for repair 
  7. Properly arrange and store sterilized instruments and supplies 
  8. Assist in cleaning instruments and nursing areas in the facility. 
  9. Assists as needed in the cleaning of the surgical area under supervision of the medical staff in charge: prior to the commencement of the first case; between cases; and at the end of each day procedures are performed 
  10. Assists in pulling instruments and supplies for the following day’s cases
  11. Checks counters and equipment surfaces for absence of dust – removes with appropriate cloth if dust is present 
  • Performs other reasonable MOHS tasks as assigned by the ASC Manager or Provider in charge. 

B. Medical Records Management 

  • Assembles medical charts prior to the patient’s scheduled arrival time, placing forms in the proper established order, ensuring completeness and managing the records retrieval when necessary.   
  • Completes pre- and post- notations of visit in a timely manner (within 48 hours of service). 
  • Ensures proper authorization is documented into the file prior to services being rendered. 
  • Supervises collection, processing, storage, retrieval, and distribution of medical records, including legal and insurance requests. 
  • Responsible for the identification of each patient's medical record.
  • Responsible for overseeing the collection, processing, maintenance, storage, retrieval, and distribution of medical records including requests from attorneys and insurance companies
  • Ensures charts are secure each day.
  • Teaches proper charting and filing procedures to new or junior personnel as needed. 

C. Scheduling and Coordination 

  • Schedules procedures, coordinate with physicians, anesthesia, and patient transportation. 
  • Ensures scheduling accuracy and compliance with physician and anesthesia availability. 

D. Communication and Liaison 

  • Answers and greets incoming correspondence with professional etiquette, direct appropriately, and take accurate messages. 
  • Serves as a liaison between physicians, patients, vendors, and other visitors.
  • Distributes referrals and communicates operative reports. 

E. Administrative and Office Support 

  • Maintain office supply inventory and order as needed. 
  • Clean and store >span class="NormalTextRun SCXW152957042 BCX0"> and equipment.
  • Ensures readiness of procedure rooms and equipment. 
  • Controls and manages facility inventory and complete required logs within 48 hours of services rendered and otherwise as required. (authorizations, pathology, supplies, etc.) 
  • Maintains facility preparedness for inspections and surveys. 

F. Quality, Compliance, and Safety 

  • Actively participates in ongoing Quality Improvement initiatives and other risk management and safety programs for the ASC facility and the MOHS teams. 
  • Reviews and adheres to policies and procedures, including fire, disaster, and safety protocols, including Fire and Disaster procedures and Safety Data Sheets.
  • Maintains confidentiality, security, and physical safety of records and correspondence. 

G. Other Duties 

  • Performs any other reasonable duties as assigned by management, which may include tasks outside the scope of this description to meet the operational needs of the Company.

Education/Experience

  • High school diploma or equivalent.
  • 1-2 years of ASC or medical office experience is preferred.
  • Dermatology experience highly preferred.
