Under the supervision of the UCSF Health Nurse Manager and guided by the policies and procedures of Ambulatory Services, the Hospital Assistant III assists in the delivery of care to patients at UCSF Health Stanyan and Hyde Ambulatory Clinics.

The Hospital Assistant III is primarily responsible for members of their primary care or multi-specialty teamlet and provides back-up support to other teamlets. This role plays a critical part in the patient experience by optimizing clinic flow, conducting patient outreach, and working collaboratively with the team to create a patient-centered environment.

This position floats between the front and back office, performing both clerical and clinical duties. Work includes a variety of personal care and nursing care procedures to support positive care outcomes. The Hospital Assistant III performs assigned patient care and laboratory procedures in support of services provided within the practices and is required to assist in all practice functions, including front and back office operations.

The Hospital Assistant III consistently projects a professional and courteous demeanor, maintains high service standards, and complies with Medical Center House and Telephone Standards. Flexibility is required to cover multiple UCSF Medical Center primary care and multispecialty clinic sites.

Key Responsibilities

  • Perform routine clinical functions, including:
    • Vital signs, height, weight, and pain screening
    • Allergy verification and medication reconciliation
    • Documentation of chief complaints and screening questions
    • Social history, medical/surgical and family history
    • Annual health screenings
    • Signing established protocols and pending care gaps
  • Update HCM banner; carry out orders; provide After Visit Summary (AVS); schedule follow-up appointments; discharge patients
  • Document interpreter use and coordinate interpreter services (in person, video, or phone)
  • Administer injectable vaccines upon successful completion of UCSF-specific medication administration requirements and verification with provider
  • Participate in daily huddles and monthly leadership rounds
  • Prepare patients for exams and procedures; assist nurses and providers
  • Perform instrument processing procedures and maintain required logs
  • Assist in complex medical procedures and complete required competencies
  • Act as chaperone as needed
  • Transport patients safely as directed
  • Monitor patient flow in and out of clinic
  • Utilize ambulatory non-provider protocols to order and sign FIT kits, GC/CT, mammograms, monofilament foot exams, multistix, and urine pregnancy tests
  • Obtain specimens and perform point-of-care testing, including QA/QC and EKGs
  • Perform phlebotomy for pediatric, adult, and geriatric patients
  • Maintain required logs (e.g., temperature, disaster cabinet, crash cart)
  • Complete referrals and obtain insurance authorizations for medications
  • Assist providers with patient communications
  • Ensure medication cabinets remain locked
  • Comply with infection control, safety, administrative, and clinical practice policies, including TJC/Title 22 requirements
  • Complete annual competency testing
Patient Flow & Communication

  • Organize activities to maintain effective patient flow
  • Communicate with patients and families via phone, verbal interaction, written reports, MyChart, and APeX InBasket messaging
  • Retrieve and utilize electronic chart information (labs, appointments)
  • Screen telephone calls, route messages appropriately, and follow practice procedures for missed appointments
  • Communicate provider delays and service issues; make waiting room announcements when delays exceed 30 minutes
  • Share pertinent information with health team members and escalate concerns appropriately
  • Assist patients with issues and complaints using conflict management skills
  • Demonstrate professionalism in appearance, demeanor, and communication

Administrative & Operational Support

  • Maintain clean, stocked exam rooms, labs, and nursing stations
  • Order and maintain supplies; maintain lab equipment
  • Review lab logs and print results as requested
  • Schedule complex procedures and coordinate patient services
  • Schedule established patient appointments in APeX according to provider productivity standards
  • Maintain confidentiality of medical records
  • Cover APeX in-baskets and phone messages for absent team members
  • Participate in quality improvement and customer service initiatives
  • Adhere to cleaning, disinfecting, and infection control procedures
  • Uphold PRIDE values (Professionalism, Respect, Integrity, Diversity, Excellence) and AIDET communication standards

Qualifications

Required Qualifications

  • Minimum of one year of experience as a Medical Assistant in a medical practice
  • Current American Heart Association BLS/CPR certification

Preferred Qualifications

  • Certification from an approved Medical Assistant program or an equivalent combination of training and experience
  • Phlebotomy certification (CPT)
  • Experience using Epic (APeX) electronic health record system
  • Familiarity with immunization schedules and recommendations
  • Prior experience in internal medicine, geriatrics, or family medicine
  • Experience working in a medical, hospital, or clinic environment
  • Fluency in Spanish or Chinese (spoken, read, and written)
  • Experience with disease registries, data collection, and basic data analysis
